Donations Policy Hue University Learning Resource Center
INTRODUCTION
Hue University’s Learning Resource Centre welcomes the donation of books and other
library materials that will enhance or extend its existing collection.
Such gifts are assessed Information Resources staff for inclusion in the collection according
to criteria similar to those governing the acquisition of new materials for the Learning
Resource Centre as detailed in the collection development policy.
GENERAL POLICY STATEMENTS
- Gifts-in-kind such as books and other published materials in any format which support
the work of Hue University’s Learning Resource Center are welcome.
- The Learning Resource Centre reserves the right to accept or refuse prospective donations.
- The Hue University Learning Resources Centre becomes the owner of the donated material once
it is accepted and reserves the right to determine retention, location, cataloguing treatment,
and other considerations relating to its use.
- In some instances the Learning Resource Centre’s staff will suggest other institutions
or libraries where the donation might be more appropriate.
- Unless, otherwise agreed, The Learning Resource Centre cannot
be responsible for freight costs associated with donations.
DONATION PROCEDURES
- Information Resources Staff will liaise with donors to get an
indication of the type and approximate quantity of items to be included
in the gift and to discuss delivery.
- In the case of large donations kept locally the Learning Resource Center
staff may offer to view the proposed donation in order to estimate the extent to which it is
likely to be a useful library acquisition.
- Information Resources staff will give the donation a brief appraisal to see if it may be
a useful acquisition. If the donation meets with approval. The donor must complete and sign the
Learning Resource Center’s donation form acknowledging the conditions by which the Learning Resources
Centre will accept the donation.
- The donated material will be stored in the Learning Resources Centre while awaiting processing..
- When work schedules allow, a member of the Learning Resources staff will give a thorough assessment
of the donation, assessing it against the collection development policy and to see if the material meets
the criteria for acceptance into the Learning Resource Center’s collection.
- The Learning Resources Centre may decline donations because they do not fit
the purpose of the Learning Resource Centre. Donated material will be assessed within
the guidelines of the collection development policy relating to currency, and appropriateness
of subject matter. Items are accepted on the understanding that the collections staff will
conduct an in-depth review and selection at a later date and material may be rejected.
- Duplicates of materials already in the collection will generally not be accepted
as donations because of limitations of space, money, and staff time for the processing
and housing of such materials.
Periodicals will generally not be accepted as donations unless they comprise a full set or
fill in gaps in the Learning Resource Center’s current holdings.
Items in poor physical condition i.e. brittle paper, water damage, writing or highlighting on pages,
torn and/or missing pages, broken bindings or items that show signs of mould will not be accepted..
- Items in languages other than Vietnamese or English will not be accepted unless they are languages that are part of Hue University’s language programs.
- The Learning Resource Center will return items to the donor within a reasonable time negotiated between LRC & donor.
- Library materials accepted as donations will be cataloged and made accessible to
Learning Resources Centre users.
- All donations will be acknowledged and donors thanked by letter. In special cases,
and at the request of the donor, a commemorative bookplate will be affixed to items donated.
